    Hayes Locums is currently seeking a passionate and experienced Event Planner to plan and manage our corporate events. This position holds an important role at Hayes Locums and will help us maintain our award-winning culture of “Best Place to Work” (SFBJ). Our events occur both on and off site, and you will be responsible for managing all events for our company. The Event Coordinator oversees all aspects of event planning within the set budget for the department.

    A successful candidate is organized, able to manage the logistics of multiple events simultaneously, creative and innovative. Responsibilities for the Event Coordinator include: meeting with internal and external stakeholders to coordinate event details, plan, scout and book locations, food, entertainment, staff and cleanup.


    • Planning event aspects, such as venue, design, dining, engagement, transportation, and promotional material
    • Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and managing take-down
    • Coordinating event entertainment, including music, performers, unique experiences and guest speakers
    • Maintaining a working relationship with vendors and venues
    • Understanding the complex needs of different events
    • Adherence to budget and negotiating contracts
    • Issuing invoices and collecting payments in a timely manner
    • Communicating with marketing team to create effective advertisements for each event
    • Anticipating and planning for possible different scenarios
    • Plan monthly, quarterly, and annual employee engagement events
    • Proactively handle any issues and troubleshoot any emergent problems
    • Conduct pre and post even evaluations and report outcomes


    • Bachelor’s degree or relevant experience in lieu of education
    • At least 3 years of previous event planning experience
    • Ability to work in a fast paced, ambiguous, and team environment
    • Ability to build productive business relationships
    • Ability to manage multiple projects independently
    • Strong communication and time management skills, and the ability to present event ideas and plans
    • Detail oriented and creative
    • Experience in planning employee engagement events strong preferred
    • Proficiency with Microsoft Office Suite
